Testa Associates, LLC, a small financial planning firm, is seeking a Part- Time Office Manager to assist with the mission of helping clients achieve their financial goals through a holistic approach. This is an opportunity to play a key role in a small, rapidly growing company where your potential to excel is unlimited.

Job Summary

The Office Manager is responsible for providing excellent service, support, follow-through and administrative tasks with the purpose of delivering an exceptional client experience. The Administrative Assistant specializes in client experience to ensure that Testa Associates, LLC, is an efficient and organized office allowing the advisor to focus on building client relationships.

Responsibilities include but are not limited to:

Executive Support:

Administratively support the President in achieving stated company goals and objectives

Collaborate with President to uncover growth opportunities

May speak for the President on company matters when necessary and on the level of authority given

Office Administration:

Support and manage all other office administrative positions

Answering phones and responding to emails & other correspondence

Create/establish office policies and procedures

Coordinate office activities

Assess and improve time efficiencies, processes, and workflows

Oversee client processing and provide on-going active support to clients

Maintain compliance pieces and submission of renewals

Assist with HR duties

Marketing assistance

Lead team meetings

Act as accountability partner

Maintain a clean and orderly office environment

Knowledge, Skills and Abilities:

Organized and attentive to detail.

Ability to multi-task.

Excellent written and verbal communication skills.

Great people skills.

Good technology and computer skills (MS Office). Able to learn and adapt to new technology.

Self-starter, with a can-do attitude and exceptional work ethic.

Able to work independently, as well as in a team environment.

Adaptable and willing to grow with the firm.

Ability to continuously learn

Education and Experience

High school diploma required; bachelor’s degree preferred.

Customer Service Experience required.

Experience in the financial services industry and/or administrative support is preferred.

Compensation

$30-40/hour based on experience

10 days PTO and paid holidays

401k with matching
