GENERAL PURPOSE

The Office Supervisor is a vital member of our garage door company, ensuring the smooth operation of daily office activities while fostering a clean, organized, and respectful work environment. This role manages the ordering of garage doors and hardware, communicates with customers for scheduling and quality assurance, and brings a positive energy to the office. The Office Supervisor will oversee daily administrative functions, support technicians and customers with clear communication, and embody the company’s commitment to excellence and customer satisfaction. EXAMPLES OF ESSENTIAL FUNCTIONS

Place orders for garage doors, openers, and necessary hardware accurately and on time.

Receive orders, check for accuracy, and organize parts in preparation for installation.

Maintain a clean, organized, and respectful work environment within the office and warehouse areas.

Communicate with customers to schedule installation appointments, ensuring clear expectations.

Follow up with customers post-installation to ensure satisfaction with the quality of work performed.

Answer incoming calls, emails, and service requests in a timely, professional manner.

Maintain accurate customer records, job files, and inventory tracking using the company’s CRM and scheduling systems.

Support and communicate with field technicians to ensure they have correct information, materials, and clear schedules.

Handle customer complaints and escalate issues as appropriate to management.

Process invoices, payments, and related paperwork accurately and on schedule.

Ensure office supplies are stocked and office equipment is maintained.

Assist with HR-related tasks as needed, including onboarding paperwork for new hires.

Support the implementation of company policies and procedures within the office environment.

Provide administrative support to the owners as needed.

KNOWLEDGE, SKILLS AND ABILITIES

- Knowledge of: Office operations and procedures; order placement and inventory processes; customer service principles; basic scheduling and dispatching practices

- Skills in: Clear, professional written and verbal communication; effective multitasking in a fast-paced environment; using Microsoft Office (Word, Excel, Outlook); using or learning CRM systems.

- Ability to: Organize work for timely completion and adjust priorities as needed; follow instructions and procedures accurately; work both independently and collaboratively within a small team environment; maintain composure while handling customer concerns; demonstrate attention to detail and commitment to accuracy in all tasks; interact professionally with customers, vendors, and coworkers; lift boxes or parts up to 30 lbs occasionally.

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS

Primarily office-based with occasional tasks in the warehouse area and outside the office

Tasks involve frequent sitting, standing, typing, and occasional lifting or moving of products (up to 30 lbs).

Standard office hours with some flexibility as needed to support operational demands.
