Administrative Assistant to Property Manager

The Administrative Assistant will support the Property Manager in effectively managing assigned properties. In the Manager’s absence, the Administrative Assistant will assume all responsibilities associated with accomplishing property objectives as set forth by the Property Manager and the Property Owner. In addition, the Administrative Assistant is directly responsible for maintaining daily, weekly, and monthly reports. The Administrative Assistant supports activities at the discretion of The Property Manager and ensures that Residents and Owners are genuinely satisfied.

Duties and Responsibilities:

Conduct all business in accordance with company policies and procedures, local ordinances (CRLTO), Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to apartments.

Resident Relations:

Maintain a positive customer relations attitude.

Answer incoming phone calls from prospective new residents, current residents, vendors/suppliers, etc.

Physically inspect properties and report any service needs to maintenance staff. Will also inspect move-ins, move-outs, and vacancies when requested.

Delegate inspection or inspect with residents all move-in/move-outs.

Operations:

Schedule and coordinate all interior and exterior building repairs.

Maintain, schedule, and organize service requests for the Property Manager. Using best judgment on managing priority tickets.

Meet contractors and gather bids.

Process, evaluate, and troubleshoot repair items and make recommendations to the Manager or property owner.

Assist with coordinating apartment turnovers.

Assist with onboarding new properties.

Follow checklists and procedures.

Administrative:

Update required reports concerning move-out notices, activity, etc., on a daily basis and provide information to the Manager.

Organize and file all applicable reports, leases, and paperwork.

Process move-ins and move-outs.

Accept service requests from residents and schedule with maintenance for prompt processing.

Conduct service follow-up with residents when work is completed.

Marketing:

Must be knowledgeable of all phases of leasing and resident retention.

General:

Perform any additional duties assigned by the Manager or Property Manager.

Qualifications:

The position requires at least one year of experience in property management.

Must have basic computer knowledge and G Suite experience.
