We're looking for a driven, organized, and customer-focused Office Administrator to support our day-to-day operations.About YouYou're proactive, adaptable, and ready to wear many hats in a dynamic work environment. You’re comfortable with technology and take pride in keeping things running smoothly.Key ResponsibilitiesServe as the first point of contact for customers via phone and emailConfirm and prepare for the next day's appointments and technician schedulesOrganize paperwork and digital files across ZMANA and affiliated businesses (Google Drive)Manage administrative workflows for the CEO's personal LLCs and nonprofit initiativesTrack and report on utilities, licenses, and billing using QuickBooks Online and SalesforceProcess Alarm.com RMAs and create accounts for new installationsMaintain inventory of office and cleaning supplies, and reorder as neededSchedule vehicle safety checks and maintenance appointmentsCreate and manage internal folders and documentation (e.g., KTO install foldersSupport Leadership and Executive Admin in high-priority operational projectsAssist in vendor coordination, document management, and general office operationsPreferred Skills & ExperienceExcellent verbal and written communication skillsHighly organized, detail-oriented, and accountableStrong customer service skills and a positive, team-oriented attitudeComfort with Macs, Google Mail, Google Workspace, and cloud-based toolsExperience with QuickBooks Online and Salesforce (preferred but not required)3–5 years of administrative or customer service experienceBachelor's degree or equivalent work experienceAbility to learn and adapt quickly in a startup settingBenefitsFull medical, dental, and vision coveragePaid time off and holidays401(k) planGrowth opportunities in a fast-paced tech startup environmentPlease apply online with ZMANA at: https://zmana.prismhr-hire.com/job/175266/office-administrator?s=cl
