Clinical Adminstrative Assistant

Position Summary

Under the supervision of the Clinical Supervisor, provides inatke, clerical, and

receptionist support to the satellite Adult Program. Is the first point of contact for person

calling or visiting the satelite facility. Protects confidentiality of clients and client records

in accordance with all applicable federal regulations.

Position Accountabilities

I. Essential Functions

1. Maintains accurate records regarding applicant/contact log (to include phone

messges), client intakes, scheduling of admissions, and other relevant documents.

2. Answers telephones, conducts follow-up phone calls, and greets applicants.

3. Maintains and conducts screening/assessment packets for the Intake Department.

4. Enters data into and manages WIC database.

5. Assists Admissions staff with assessments by helping potential clients

with completing assessment forms.

6. Schedules client exit interviews.

7. Processes incoming/outgoing mail, maintains postal meter machine, and

keeps monthly postage log.

9. Assists with closing charts, purging, rotation of files, and interfiling of documents.

10. Manages correspondence, faxes, and mailings.

11. Assists Benefits Manager with insurance checks and inputting UA

confirmations into electronic record.

12. Assists with the coordination of graduation (scanning certificates, verification

of greaduate list.

I. Other Functions

1. Performs other related duties as assigned.

III. Qualification Requirements

Experience and Training:

1. High School diploma or GED equivalent.

2. Typing skills of 40wpm and clerical and data entry skills.

3. Intermediate computer skills with proficiency in MS Word, Excel, and Outlook.

2. Skilled at filing, faxing, scanning, and utilizing copy machine.

Administrative Assistant (Satellite Adult Program)

Knowledge, Skills and Abilities:

1. Strong interpersonal skills and customer-service orientation.

2. Exellent at filing, faxing, scanning, and utilization of copy machine.

3. Strong organizational skills.

3. Good written and verbal communication skills.

4. Able to work in fast-paced environment and manage multiple tasks simultaneously.

5. Able to respnd calmly and efficiently in stressful situations.

6. Able to work in a multi-disciplinary team

IV. Physical/Mental Demands

Light physical effort; mostly sedentary work; occasional standing/walking;

occasionally lifts supplies/equipment. May be exposed to infectious and contagious

disease.
