Native Technologies is searching for a Project/Quality Coordinator

Duties & Responsibilities

In collaboration with leadership develops and maintains standard operating procedures for project planning, implementation, execution and daily operations.

In collaboration with leadership establishes contact with vendors, consultants and contractors and creates and submits Requests for Proposals as directed by leadership. Receives, compiles, and tracks RFPs and maintains information as needed for active and upcoming projects. Assist project team in gathering and documenting information at site visits if necessary.

Coordinates, schedules, and documents meetings. Prepares needed materials and other resources to aid meetings. Prepares presentations as required to support meeting progression, audience engagement, and achievement of meeting objectives.

Supports the team with the preparation and maintenance of projects schedules. Ensures all project activities are properly tracked and updated; follows up with consultants, contractors and teammates on project progression, aiding continuity, accountability, and prompt deliverables.

Supports the team with the preparation and maintenance of operational budgets. Assists with cost projections, research, cost analyses, and reporting on a quarterly basis and/or as assigned by leadership.

Responsible for all billing and invoicing, utilizing appropriate project coding. Works to ensure payments are processed and submitted in a timely manner. Reconciles payables, receivables, and operational budgets.

Reviews contracts, supports the team in the acquisition, develops and manages the filing and maintenance of required documentation. Tracks and maintains all compliance requirements, safeguarding NT’s best interest and community standing.

Quality Assurance: Develop quality assurance procedures and is responsible for onsite visits.

Leads all project closing activities: review and closure of project agreements, deliverables, payments, and any other related tasks as required. Compiles pertinent information in collaboration with Leadership and assists/ prepares finalization reports and presentations for the team.

Supports all vendor, consultant, and contractor relationships, ensuring NT’s good standing in the community. Creates and maintains a database to track consultant, contractor, subcontractor, and other vendor information.

Qualifications

Required

Personable positive and can-do attitude.

Excellent oral and written communication skills (ChatGPT, Grammarly, or similar will not suffice in this role).

Strong time management skills to effectively prioritize tasks and meet deadlines.

Skilled in Microsoft Office 365 products including Word, Excel, Outlook.

Skilled in Microsoft Windows operating environment and be highly proficient with general file management and Cloud-based Filesharing (in particular, SharePoint),

Proficient in Adobe Acrobat

Proficient utilizing iPhone, including app management (downloading, updating etc,.)

Experience in administration of design and/or construction contracts and associated documentation.

Well-organized, detail-oriented, and able to manage in-depth special projects and priorities.

Preferred

Bachelor’s degree in relevant field (Mechanical or Civil Engineering, Architecture) or equivalent experience.

Ability to work in an ambiguity and fast-paced environment.

At least 3 years in a project assistant, assistant project manager or other technical project administrative experience in a construction, architecture, design project organization.
