Office Associate II - Central FilesAugusta , Maine , United States | Administrative and Office Support | Full-time Apply by: June 7, 2024 Apply with Linkedin ApplyJob Class Code: 6542Grade: 13Salary: $16.80-23.25Opening: May 24, 2024Closing: June 7, 2024The Secretary of State, Bureau of Motor Vehicles is seeking candidates for an Office Associate II position in the Central Files Unit within the Division of Administrative Services. This position is responsible for processing and verification of information that has been indexed into our document management system. Indexing of data is performed by using Oracle/Kofax software. This position processes a high volume of data and requires independent judgment, effective problem solving, and exceptional attention to detail. This position is part of the team responsible for entering the Maine Motor Vehicle Exam, History and Electronic Registrations. A typical day involves:

Accurate and rapid entry of data in standard form, scanning documents and validation/export.

Running and researching error reports and correcting entries in accordance with established procedures.

Validating and verifying electronically imaged documents, ensuring that key words are correct and complete.

Entering thousands of documents per year and processing a high volume of data.

Researching and providing copies to other sections within the Bureau of Motor Vehicles that may be used within or sent to other state or municipal agencies.

Occasional training to others and assisting with coverage in the Central files, Numerics, and the Bureau’s multiline switchboard phones when needed.

In order to be successful, you must have:

Knowledge of the principles, practices, and equipment used in graphics, illustration, and publication work to effectively present information to individuals/groups.

Ability to create and use varied correspondence formats and compose standard business correspondence.

Ability to prepare standard reports.

Ability to stay current and understand, discuss, explain, and apply applicable laws, rules, regulations, policies, procedures, paperwork, and terminology.

Ability to apply to routine individual cases an explanation and interpretation of applicable rules, regulations, policies, procedures, codes, and/or documentation requirements.

Ability to exercise good judgment in appraising situations and determining facts, detecting errors and irregularities, and taking appropriate action in accordance with established procedures.

MINIMUM QUALIFICATIONS:

Training, education, or experience in office and administrative support work that demonstrates:

Competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks

Ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures.
