Field Service Coordinator - Smyrna, GAThe opportunity: As a Field Service Coordinator, you will be responsible for planning, organizing, and optimizing resources to support our customers with equipment installations and service. Your goal is to ensure effective resource management and timely delivery of services to help deliver a high level of customer satisfactionHow you will impact WestRock:Resource Management:

Plan and Schedule Services: Work directly with Service leadership to plan and coordinate schedules for field service technicians based on customer requirements, prioritization, timing and resource availability.

Allocate Resources: Assign field technicians to specific tasks or appointments based on technician equipment specialization, competency, and customer requirements.

Coordinate Third-Party Services: Arrange for additional services as needed for specific jobs.

Finalize Locates and Permits: Ensure all necessary approvals and permits are in place for scheduled work.

Validate Documentation: Help ensure all required Service documentation is timely, accurate, and complete.

Effective Communication:

Internal Coordination: Collaborate with Service leadership, operations teams, and other relevant parties to execute the work schedule

External Communication: Maintain clear communication with customers, Service leadership, and field technicians regarding appointment details and changes

Problem-Solving and Adaptability:

Handle Changes: Be prepared to adjust schedules due to emergencies, cancellations, or unforeseen circumstances.

Resolve Scheduling Conflicts: When conflict arise, find solutions that minimize disruptions to service delivery.

Improve processes. Identify and execute opportunities to continuously improve processes based on internal and external feedback. Be willing to challenge the ‘status quo’ to find better ways to do work.

Administrative Tasks:

Answer Calls and Emails: Respond promptly to inquiries from customers and colleagues.

Billing and Documentation: Assist with billing, insurance claims, and other administrative duties related to field service operations.

Travel Arrangements: When applicable, assist field technicians with logistics coordination and travel arrangements.

What you need to succeed:Prior scheduling experienceTechnical Ability:

Proficiency in Scheduling Tools: A good scheduler must be adept at using scheduling software or other tools commonly used for creating project schedules. They should confidently input tasks, dependencies, resources, and other relevant data to build accurate schedules. [1] Understanding scheduling theory and best practices is crucial for efficient project timelines.

Technical Literacy:

Beyond scheduling tools, schedulers need to be confident computer users. They handle various data formats, including spreadsheets, timesheet extracts, and files from different sources. [2] Being resourceful and knowing how to seek help when faced with software-related challenges is essential.

Curiosity:

Curious schedulers go beyond administrative tasks. They question why schedules are built a certain way and explore alternative approaches. [3] Their input can improve project management and overall performance.

Resourcefulness:

Gathering information for scheduling isn’t always straightforward. Schedulers need to be creative in seeking out missing data. [4] Building connections with team members and finding solutions when information is scarce is part of their role.
