Responsibilities
Answer and direct phone calls
Write and distribute email, correspondence memos, invoices, letters, faxes and forms
Assist in the preparation of regularly scheduled reports
Assist with paperwork, order forms
Maintain contact lists
Maintain client books
Act as the point of contact for internal and external clients
Requirements and skills
Proven experience as an Administrative Assistant
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines
Proficiency in MS Office (MS Excel and MS Outlook, QuickBooks, in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Must be fluent in English & Spanish
Strong organizational skills with the ability to multi-task
Ability to maintain confidentiality and exercise discretion with sensitive information.
Knowledge of office management systems and procedures
Familiarity with phone systems and office equipment (e.g., printers, scanners)
Previous experience as an administrative assistant or in a related role is preferred
