Office Assistant/Teacher Support

Job Summary

The successful candidate will receive visitors, maintain school records and provide general support to the teachers and the administration team. The ability to speak Creole is an advantage.

Office Responsibilities:

Greet and welcome visitors and guests

Maintain campus security, control office access and keep visitor sign-in logs

Manage the office workflow

Keep the office in a tidy and presentable condition

Arrange and follow up on any necessary repairs

Monitor stock and order office supplies

Answer, screen and forward incoming phone calls

Provide basic and accurate information in-person and via phone/email

Provide general support to parents, visitors and students

Ensure timely and accurate customer service

Respond to complaints and parent requests in a timely and professional manner.

Provide general support to the administration team and the homeroom teachers.

Adhere to health and safety procedure and respond to emergencies

Update and maintain school records

Schedule parent/teacher conferences, meetings and appointments

Comply with regulatory requirements and meet all deadlines

Update and maintain office policies as necessary

Organize office operations and procedures

Coordinate with IT support on all office equipment issues

Receive and record and payments

Assist in the onboarding process for new hires

Receive, sort and distribute daily mail and deliveries

Filing, printing, scanning, photocopying, and faxing

Teacher Support Duties

Maintain a caring environment for students.

Diligently supervise students at all times.

Assist with student arrival and dismissal

Cover the classroom while the homeroom teacher is on break

Adhere to the daily schedule

Follow the lesson plans.

Implement activities to stimulate the children.

Integrate special needs students in a respectful manner.

Assist students at mealtimes.

Communicate with parents regarding student progress.

Encourage students and be positive at all times.

Proactively manage student behavior

Establish rules to guide students inside and outside the classroom.

Follow emergency procedures and protocol.

Clean and sterilize the classroom environment

Keep hazardous items out of reach of students.

Identify problems and convene with professionals if necessary.

Participate in staff meetings and extra-curricular activities.

Minimum Qualifications and Skills:

High School Diploma/GED

A passion for working with children

The ability to speak Creole is preferred

Previous experience of working in the education field is preferred

Additional certification in Office Management is a plus

Thorough knowledge of customer service, office management and basic bookkeeping procedures

Knowledge of office administrator responsibilities, systems, and procedures

Strong organizational, multitasking abilities and planning skills in a fast-paced environment

Professional attitude and appearance

Proficiency in English (oral and written)

Excellent people skills

Excellent written and verbal communication skills

Team player

Excellent time management skills

Attention to detail and problem-solving skills

Ability to be resourceful and proactive when issues arise

Solid knowledge of MS Office, particularly Excel and Word

Familiar with using Software and / or other student information systems

Hands on experience with office machines (e.g. computers, fax machines and printers)

Familiarity with email scheduling tools

Participating in personal professional growth and keeping credentials and skills current.

Performing other duties and projects as assigned by the school management team.

Essential Requirements:

Must pass level II background screening

Must be reliable

Must participate in required training

Must be coachable

Be able to meet the physical demands necessary to care for K-12th Grade Students

Applicants must have the ability to participate in tasks that require moderate physical effort in light work, typically involving some combination of stooping, kneeling, crouching, and crawling, and which may involve some lifting, carrying, pushing and/or pulling of objects and materials of moderate weight (12-20 pounds).

Hours of work may vary. Typical schedules are set between the hours of 7:30 am and 5:00 pm Monday thru Friday.
