Be the Strategic Right Hand to a High-Performing Executive

We’re looking for a sharp, highly capable Executive Assistant to support a senior executive based in Miami. This is a business-focused role—not just about scheduling, but about playing a key part in the executive's strategic initiatives, research efforts, and communications with high-level stakeholders.

You’ll be embedded in the executive’s day-to-day operations, helping drive productivity, prepare for growth opportunities, and streamline workflows in a fast-paced, high-impact environment.

Key Responsibilities

Calendar & meeting ownership: Strategically manage a demanding schedule and ensure the executive is always prepared with background materials and key insights.

Executive communications: Draft and manage professional email correspondence, follow-ups, and internal/external communications.

Business development support: Conduct in-depth research on potential partnerships, emerging markets, and industry trends. Summarize findings and offer actionable insights.

Meeting preparation: Help organize briefings, talking points, and presentation decks for meetings with clients, investors, and senior leaders.

Project tracking: Monitor ongoing initiatives, track deliverables, and follow up with internal teams to ensure progress and alignment with priorities.

Relationship management: Assist in nurturing key contacts and help maintain CRM records for follow-up, meeting notes, and relevant data points.

Problem-solving: Anticipate needs and proactively identify ways to make the executive’s time more effective and focused.

Qualifications

3+ years experience as an Executive Assistant to C-level or senior leadership

Proven ability to support strategic business tasks beyond traditional admin functions

Exceptional organizational and multitasking skills

Excellent communication skills—written, verbal, and interpersonal

High level of discretion and professionalism

Comfortable working independently in a dynamic environment

Proficient in Google Workspace, Microsoft Office, and CRM/scheduling tools

Based in Miami or willing to relocate (this is an on-site position)

Bonus: Bilingual (English/Spanish) and experience in a fast-growth or entrepreneurial company
