Description We are in search of an Office Manager who will be responsible for facilitating the smooth functioning of our client's office located in Aventura, Florida. As an Office Manager, you will handle administrative tasks, coordinate office activities, and offer support to our team. This role offers a contract to hire employment opportunity and calls for someone who can effectively multitask in a fast-paced environment.Responsibilities: Facilitate efficient office operations and procedures. Serve as the point of contact for all office requests and inquiries. Manage the reception of visitors, clients, and employees, ensuring their needs are met professionally. Oversee the management of office supplies, including tracking, ordering, and inventory control. Handle office management invoices from vendors, ensuring they are processed and submitted timely. Maintain confidentiality of sensitive information and handle it with utmost discretion. Coordinate with other departments to promote a positive work environment. Oversee the cleanliness and maintenance of the office environment, liaising with service providers as necessary. Assist in the organization and set up of special events, celebrations, and meetings. Manage office pick-ups and deliveries. Create and control Identification/cards and electronic devices, authorizing or denying access as required. Oversee a team of employees including Receptionist, Courier, and Housekeeper. Assist with the onboarding process for new employees, setting up workstations and providing necessary equipment.Requirements Proficiency in Accounting Software Systems Knowledge and experience with ADP - Financial Services Familiarity with Concur system Experience in Customer Relationship Management (CRM) Competence in Dentrix Dental Software Proficiency in using About Time software Understanding of Accounting Functions Experience in handling Accounts Payable (AP) Experience in managing Accounts Receivable (AR) Ability to handle Answering Inbound Calls effectively.
