Real Estate Administrative Assistant

Distrito de Columbia, Washington 00000 Washington USA
Aplica ya

First, this is NOT a sales position. You will be communicating with my clients, colleagues, and vendors, but there is no selling involved. You will be working for the number one real estate team in all of Virginia.

Are you an organizer? Would you quickly find a typo in a two-page letter?

You may be a good candidate if your friends think of you as a positive person and a good communicator.

You are punctual and focused. Seriously, you'd rather show up ten minutes early than one minute late.

You're comfortable on a computer and can easily become fluent in the programs we use, including paperless files.

You can quickly find info on the web, and you're great at organizing and answering emails the standard office requirements of a good assistant (which may occasionally also mean dropping off dry-cleaning or getting the car ready for a showing appointment).

Speaking of cars, you must have a reliable car and a valid driver's license.

Things do get hectic around the office so having a good sense of humor helps.

The work here varies so be ready to learn and learn quickly. You need to be willing to both work hard and smart and follow instructions closely. But don't worry, we use easy-to-follow checklists for many tasks.

You don't need to have a real estate license, but previous real estate experience is required.

We are looking for a steady and stable person looking for a long-term position.

Your responsibilities include:

Provide excellent customer service to clients and other agents.

Coordinate appointments, schedule and follow up.

Manage calendar.

Manage client data and paperless files.

Help out with marketing materials and campaigns.

Handle and oversee listing agreements and ratified contracts.

Confirm commission split structure with other team members.

Schedule photographers, stagers, lockboxes and signs.

Manage all contingency deadlines in the contract

Communicate to clients throughout the contract period and always providing the “next step”.

Send contract to lender and title company.

Make sure agent has coordinated with buyer to get EMD deposited per contract.

Communicate to the lender and title company throughout the transaction with any and all updates.

Order HOA and condo documents on behalf of our sellers.

Check on HOA/Condo documents to send them to buyer when completed.

Schedule termite inspection and necessary treatments and distribute to third party.

Schedule closings and communicate details to clients.

Review settlement statements/CD’s for accuracy.

Continuous maintenance and updates to CRM

Plan fun quarterly team outings and client events
