Local Alexandria accounting and financial services firm has an immediate opening for an experienced full-time Administrative Assistant. We are a small firm that provides accounting, tax, business advisory, and financial services to professionals in a professional yet casual business environment. The successful candidate will have experience in an office setting, preferably in a public accounting firm, have outstanding communication skills, both oral and written, be able to multitask, and have a pleasant and professional attitude. We are a deadline-driven business that requires the utmost in efficiency and effectiveness of all our employees, especially when deadlines approach. Overtime may be required during tax season and at other times when needed. All overtime pay complies with federal and state laws.

Primary Duties:

Answering the phone and responding to e-mails.

Maintaining the office calendar, scheduling meetings, and setting up conference calls.

Managing files and databases, both physical and electronic.

Receiving, sorting, and distributing incoming mail, and preparing and tracking outgoing mail and packages to ensure timely delivery of sensitive materials.

Logging in the receipt of tax organizers, pulling the tax files, and queuing them for preparation by the accounting staff.

Collating tax returns, extensions, quarterly estimated taxes, and other filings, and preparing them for mailing or delivery to clients by other methods (e.g. private carrier, courier). Logging in the release of tax returns by the methods above.

Preparing payroll withholding breakdowns for our clients.

Ordering office supplies and stationary.

Other duties as required.

Experience and Qualifications:

Two years in an office setting, preferably in a public accounting office.

A high school diploma or GED.

Excellent oral and written communications skills.

A professional and “up-beat” demeanor, dependable, and self-motivated.

The ability to work with minimal supervision.

Excellent multitasking skills.

Strong attention to detail and accuracy.

Typing 50 words per minute.

Microsoft Office experience, especially with Word and Excel.

QuickBooks experience.

Valid driver’s license and a car are required for rare local driving.

The ability to pass a background check.
