Job Description:

The Folger Shakespeare Library, on Capitol Hill in Washington, DC, is seeking a full-time Operations Project Manager to join the Operations team (Facilities, Information Technology, and Security)! This individual, under the supervision of the Director of Operations (DO), will work with team members to ensure the smooth completion of projects with significant institutional impact. The work will range from short-term construction or repair projects to multi-year capital projects and cross institutional projects which impact all areas of the institution. The Operations Project Manager is responsible for managing complex communications with stakeholders and working closely with team members to ensure timely delivery of projects and products.

The standard schedule for this role is Monday-Friday, 8:45am-4:45pm, which is a 35-hour workweek with an hour unpaid lunch daily, with rare evening or weekend hours to meet project needs. This position works onsite with the possibility of work from home on an occasional basis. The selected candidate will need to be within a commutable distance to the D.C. office (DC, MD, VA) by their start date.

Compensation:

This is a monthly-paid salary position, with a pay range of $65,000-70,000 annually.

Duties:

Under the guidance of the Director of Operations, collaborates with end users and operation team on the development and implementation of workflows for the execution of operations projects and initiatives. Maintains project management systems for divisional workflows.

Assists the Director of Operations in managing the Work Plan for the Folger’s reopening in 2024 and future pan-institutional projects.

This includes coordinating with representatives across the institution to ensure proper collaboration; collaborating with representatives to build and refine project plans for Work Plan tasks; compiling and managing the high-level timeline for Work Plan tasks; identifying risks, communicating developments internally, and other related tasks.

Manages a portfolio of projects for the Director of Operations

With minimal supervision, coordinates and/or manages elements of operations team projects and goals. Works with DO to ensure goals and implementation plans are clearly communicated and adhered to.

Maintains working group or committee calendars, tracks decisions and follows up with relevant parties to ensure work is completed, proofs communications and sends on behalf of groups/DO.

Tracks projects managed by other Operation Team members. Maintains Operations project calendar.

Assesses processes, identifies opportunities and makes recommendations for achieving operational excellence through process streamlining and improvements, systems development, and improving efficiencies.

Maintains documentation and files for assigned projects, supporting archiving, report writing, and other maintenance needs. Follows guidelines for inclusion, purging, and archiving of materials in alignment with Folger Archival practices.

Supports Operations Meetings: take notes; solicit feedback from project leaders on active work; track and make changes to Gantt Chart and Operations Calendar

Supports Director of Operations and Facilities Managers in Requests for Proposals (RFPs); evaluates proposals and contracts.

Supports Director of Operations in managing project and operational budgets.

Submits Operations team updates for monthly Folger newsletter; updates staff on major projects via updating Bard2 and SharePoint sites.

In partnership with the Finance Office, tracks licenses, certificates, and permits across Folger campus properties; schedules associated inspections, arranges points of contact, follows up with payment and paperwork.

Takes on special assignments, including but not limited: conducting research, sourcing information, and providing high level summary of topics; attending and taking minutes at meetings; formatting charts, tables, and other graphics for presentations; maintaining and uploading content to internal wiki and external website as needed; and coordinating special projects with other institutions.

Commits to remain up to date with project management techniques.

Education and Experience:

4+ years of professional experience in a project management role is required, preferably within building operations at an academic or cultural institution.

Experience with managing projects in building operations, infrastructure, and complex projects with competing needs is required.

Experience with standard office products required.

Project management training required; PMP certification or similar preferred.

Experience coordinating multiple projects and competing deadlines necessary.

Experience managing project and departmental budgets required.

Experience reading architectural and mechanical drawings

Experience working in historic buildings and/or for cultural organizations preferred.

Experience creating Requests for Proposals (RFPs) and evaluating bids from contractors in strongly preferred.

Knowledge and Skills:

Ability to work and lead projects in a team environment where frequent consultation, flexibility, creativity, and collaboration are required.

Proven prioritization, organizational, and problem-solving skills and strong service orientation.

Outstanding communication, presentation, and interpersonal skills.

Excellent interpersonal, analytical, communication, and organizational proficiency required.

Working Conditions/Physical Requirements:

This job operates in a professional office environment.
