The Child and Family Counseling Group, a family oriented Mental Health Practice in Fairfax, VA is looking for an experienced administrative coordinator to start July 1st!

This is a full-time, in-person position. We are seeking a coordinator to assist our team from 10am - 6pm Monday - Friday.

Major Duties and Responsibilities:

Handle multiple simultaneous phone lines promptly, accurately, and courteously. We experience a large volume of new/current patient and pharmacy calls daily and the administrative coordinator must be able to navigate these calls.

Welcome patients to the our practice, and provide assistance to them by providing information, taking payments, scheduling appointments.

Provide high quality assistance to clinical team to ensure a smooth running and productive environment. Handle patient scheduling, pharmacy calls, prior authorizations, contacting patients for billing, setting up Zooms for providers.

Maintains strong rapport with staff and patients, and facilitate consistent and timely communications throughout.

Scanning/copying/faxing documents. The 10am - 6pm coordinator is responsible for scanning patient documents into our EHR system at the end of each day.

Monitoring/documenting voicemails. The 10am - 6pm coordinator is responsible for checking voicemails prior to the end of each day.

General office duties including but not limited to: keeping the administrative area neat and tidy, and keeping the break room area clean and well stocked.

Qualifications & Job Requirements:

Proactive & enthusiastic work ethic. We are seeking a self-starter who enjoys working as part of a team with no micro-managing.

Experience answering multi-line phone systems (required).

Strong organizational and time management skills while working in a fast-paced environment.

Solution oriented with exceptional communication skills.

Professional appearance and demeanor.

Proficient in Microsoft Office suite.

EHR experience strongly preferred, but willing to train the right person.

Bi-lingual Spanish is a plus, but not required.

Compensation and benefits:

Compensation for this role is $18.00 - $20.00/hour, based on experience

7 paid federal holidays off per year

3 weeks PTO

Health and Dental insurance after 30 days of employment

401k participation after 1 year of employment
