We are a well-established immigration law firm seeking a proactive and customer-oriented individual to join our team as a Front Desk Administrator. As the face of our firm, you will play a crucial role in ensuring smooth operations and exceptional service for our clients.

Responsibilities:

1. Bilingual Communication: Serve as the primary point of contact for clients, both in person and over the phone, providing assistance and answering inquiries in English and Spanish.

2. Office Maintenance: Maintain the cleanliness and organization of the office space to ensure a professional and welcoming environment.

3. Inter-Staff Communication: Facilitate communication between in-house and virtual staff, ensuring that messages and tasks are relayed effectively.

4. Mail Management: Handle daily mail intake, sorting, and distribution. Assist with scanning and copying documents as needed.

5. Customer Service: Provide exceptional customer service to clients, addressing their needs and concerns with empathy and professionalism.

6. Calendar Management: Assist with scheduling appointments, meetings, and consultations, managing calendars for attorneys and staff.

7. Administrative Support: Assist with various administrative tasks, such as data entry, filing, and maintaining records.

Qualifications:

- Fluency in both English and Spanish, with excellent verbal and written communication skills in both languages.

- Previous experience in a customer-facing role, preferably in a legal or professional services setting.

- Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.

- Positive attitude, professionalism, and a passion for providing exceptional service to clients.

- Proficiency in basic office software (e.g., Microsoft Office Suite) and the ability to learn new software systems quickly.
