Description We are offering a contract to hire employment opportunity for an Executive Assistant in Washington, District of Columbia. The role involves supporting office operations in a dynamic work environment. The job function is rooted in the industry of administrative support, with a focus on organization, scheduling, and correspondence.Key responsibilities: Manage and maintain executive schedules, including meeting coordination, travel arrangements, and appointment reminders Handle expense reporting tasks, ensuring all expenses are accounted for and reports are timely submitted Draft and manage correspondence, ensuring all communications are professional and accurately represent the executive's intentions Deliver a welcoming office environment by greeting visitors and answering incoming phone calls professionally Assist with ad hoc tasks in the office, ensuring smooth day-to-day operations Coordinate with vendors, ensuring all vendor-related tasks are handled efficiently Use various software such as Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, About Time for various tasks Manage executive's calendar effectively, ensuring all appointments are accurately scheduled and conflicts are resolved in a timely manner Handle correspondence efficiently, ensuring all communications are professional and accurately represent the executive's intentions Assist C-Suite executives with documentation, ensuring all documents are accurate, professional, and timely submitted. Requirements Proficiency in Microsoft Office Suites including Microsoft Excel, Microsoft Outlook, and other related software Experience with CRM platforms and Concur software Familiarity with 'About Time' software for effective time management Ability to manage calendars and coordinate meetings, appointments, and travel arrangements Strong experience in C-Suite level support Excellent written and verbal communication skills for managing correspondence Proven track record in documentation and record-keeping Ability to manage confidential information with discretion Detail-oriented with strong organizational skills Ability to work independently and as part of a team Proven problem-solving skills and ability to handle multiple tasks simultaneously High level of professionalism and ability to interact with all levels of the organization.
