We are seeking a full time Administrative Assistant/Bookkeeper. The ideal candidate will have prior construction knowledge and strong customer service skills.
Responsibilities include but are not limited to:
Staff support
Customer service
Answer and screen telephone calls
Route telephone calls to appropriate staff member
Document preparation & submittal
Data Entry
Timecard and job-cost entry
Review and posting of AIA documents, including owner billings and subcontractor applications for payment
Efficient management of accounts payable, including vendor setups, W-9 and certificate of insurance requirements, job-costing, & lien waivers
Reconciling vendor statements to accounts payable aging, clean up AP aging regularly
Analysis of WIP, including job cost variances to job budgets
Credit card reconciliation
Preparation and maintenance of a current filing system for each construction project
Minimum Requirements:
Proficient in Microsoft Office including Excel and Word.
Quickbooks knowledge (or another accounting software)
Ability to multi-task and prioritize workload
Excellent written and verbal skills
Flexibility
Punctuality
Positive Attitude
Hours for this position are from 8 am to 5 pm Monday through Friday. Pay is contingent on experience.
