Administrative Assistant is responsible for supporting the catering sales team and the CEO with various office duties. Hours would be Monday to Friday from 9am to 2pm or 8am-1pm.
Key Responsibilities
Respond promptly to catering inquiries via phone, email, and in-person meetings.
Assist with preparing customized proposals.
Following up with past events for reviews
Work with warehouse team to oversee inventory
Administrative duties such as filing, data entry
Backup to our Cafeteria Cashier to cover for vacations or sick days
Event Coordination
Work closely with operations and culinary teams to ensure event details are communicated accurately.
Monitor event changes and communicate updates to all relevant departments.
Administrative & Reporting
Maintain and update client database and sales tracking systems.
Organize and maintain sales files, contracts, and reference materials.
Qualifications
Education &Experience
High school diploma or equivalent required
1–2 years of administrative office work required
Skills & Competencies
Excellent written and verbal communication skills.
Strong organizational and multitasking abilities.
Knowledge in Microsoft Office Suite (Word, Excel, Google Sheets)
Ability to work independently and collaboratively in a team environment.
Professional appearance and demeanor.
Physical Requirements
Ability to sit, stand, and walk for extended periods.
Occasionally lift up to 25 lbs. when assisting with event setups or materials.
Work Environment
This role operates in both an office and event setting. The Catering Sales Coordinator may be required to attend on-site events to ensure client satisfaction and smooth operations.
