COS capitalizes on Stanford’s deep expertise in ocean science and in the many other disciplines crucial to solving ocean problems including engineering, computer science, political science, design, and business.For more information about COS, click here .The Center for Ocean Solutions is seeking an Administrative Associate to provide administrative, operational, and financial support to the team working under limited supervision. COS is a dynamic research center focusing on innovative and solutions-oriented research to improve the health of the oceans. We are looking for an outstanding Administrative Associate to join our team and support the faculty, researchers, and staff. If you are highly motivated, up for a challenge, and effective at organizing and completing tasks, this position may be the right career opportunity for you!Your Responsibilities will include:

Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.

Submit administrative and financial expenses reimbursements and work with spreadsheets which may utilize specialized software and systems.

Oversee and/or process a variety of complex financial transactions; may assist with material and supplies requests and/or vendor selection.

Oversee and/or perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing events within budget.

Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.

Coordinate and monitor routine maintenance services completion. Plan and coordinate office updates and/or minor renovation projects.
