We are seeking an experienced and initiative-taking self-starter to serve as our business office manager in our commercial real estate operations. The Business Office Manager (“BOM”) will be responsible for the direct hands-on management and maintenance of the company’s day to day business administration, including providing direct support to and working under the building property manager and executive management, maintaining human resources records and servicing payroll, overseeing and administering all aspect of the company’s finances, and monitoring inventory and supplies.

Business Office Manager Duties and Responsibilities:

I. Office Management Duties:

support company operations by working closely under the direct supervision of the building property manager

maintain all office systems

supervise staff

maintain office services by devising, organizing, and maintaining office operations and procedures

define and implement procedures for retention, protection, retrieval, transfer, and disposal of records

propagate and maintain office operations efficiency in the planning and implementation of office systems, layouts, and equipment/inventory/supply procurement

establish and maintain standards for staff in office protocols and procedures

keep management informed and up to date in all aspects of the company’s business administration, summarizing information and reports, monitoring and reporting work progress

maintain office staff by recruiting, selecting, orienting, and training employees

II. Business Management

manage and maintain all lease and rental agreements

generate, edit, and issue lease and rental agreements as directed

handle and manage all tenant communications and correspondence

handle, manage, and resolve regular tenant inquiries and issues

manage and maintain all human resources records

prepare payroll and benefits compensation

handle all aspects of financial administration and management, including accounting and bookkeeping, accounts receivables and payables, property insurance, taxes, collection of rent

collaborate with the company’s independent service providers, including accountants, lawyers, vendors and contractors

prepare annual budget, schedule expenditures, analyze variances, and initiate corrective actions

III. Qualifications:

college graduate or equivalent preferred, including relevant certifications

at 3 years office business management experience

proficient knowledge of the general principles of financial accounting

ability to learn new software quickly

hands-on proficiency working with Microsoft Office Suite, especially Word, Excel Worksheet, PowerPoint, and Publisher

ability and comfortable working in crunch situations

ability and comfortable working independently

excellent organization and problem-solving skills

must be fluent in spoken and written Chinese, preferrable both Mandarin and Cantonese

IV. Work Hours and Benefits:

Full-Time Salaried Position $43k - $55k, depending on experience

On-Call as needed for emergencies
