Commercial Property Management Company seeking an energetic, positive, and outgoing person with an ACTIVE CALIFORNIA REAL ESTATE LICENSE and a minimum of a High School Degree or GED. Must be very organized, detail oriented, able to multi-task various projects, and able to handle pressure situations. Must ask good questions, solve problems to conclusion, and interact positively with the other team members, tenants, owners and vendors. Knowledge of basic construction practices and construction terms is required. A dependable vehicle is also required for out of the office tasks. Must be able to lift 50-60 lbs occasionally.
This is primarily an in the office position, with some work out in the field. You need to have and use dependable personal transportation for work.
The Assistant Property Manager position assists with the day‐to‐day functions of the property management department and supports the Property Manager Team. This position is the primary point of contact for tenants regarding maintenance/repairs, and assists the Property Managers in all aspects of management pertaining to our client’s property. This position is the primary liaison between the tenants, Property Managers and vendors for maintenance & repair issues at managed properties. This position also works with the accounting department to process repair/maintenance bills, work orders, and job tracking.
Job Responsibilities include, but are not limited to:
Responding to maintenance/repair requests from tenants, and creating work orders to schedule repairs.
Obtaining bids for work orders based on information from tenants or Property Managers, and directing contractors, technicians or based on information gathered from site visits
Drafting memos and/or making phone calls and emails to tenants related to lease issues, preventative maintenance scheduling
Contacting tenants regarding rent delinquencies
Assisting Property Managers with Tickler Activities and Work Order updates.
Running various management system reports as requests
Contacting tenants to obtain current proof of insurance as required in tenant leases.
Follow up with tenants after maintenance and repair work is completed to confirm satisfaction.
Issuing keys to contractors/technicians/tenants and vendors, keeping logs of who has keys and ensuring return of said keys
Perform all necessary functions to facilitate Tenant “Move In” and “Move Out” procedures for tenancies.
Informing tenants of the lease obligations for maintenance, repairs and other lease items
Performing walk‐outs of units and writing work orders related to turnovers
Processing security deposit returns
Serving lease notices on tenants
Uploading documents and photos to the company’s online property management system.
Maintain logs related Project Lists for individual properties
Obtaining Vendor Bids for property repairs, maintenance and improvements
Scheduling repairs/verifying contractor/technician completion of authorized work
Reading meters for charge backs of utilities to tenants
Collecting coins from onsite vending machines
Periodic on-call emergency response
Performing Preventative Maintenance Site Inspections
Meeting Vendors onsite at properties to review performance of their contracts/changes
Other related duties as assigned by the company and Property Managers
