TITLE: Senior Office Specialist

REPORT TO: Executive Director

DAYS / HOURS: Monday – Friday, 15-20 hours per week

SENIOR OFFICE SPECIALIST

JOB DESCRIPTION

GENERAL DESCRIPTION:

Provide administrative and clerical support. To perform this job successfully, an individual must be able to perform each essential job function satisfactorily.

This position will support various main office functions including:

OFFICE MANAGEMENT

Pick-up, sort, and distribute mail

Monitor Office Supplies, and purchase/restock when necessary

Help co-workers create various documents

RECEPTIONIST

First point of contact for walk-ins and phone calls

Screen and route phone calls for co-workers, and taking messages

Maintain calendars, and various other assignments as needed

EQUIPMENT

Take reservations and logging them in Facil

Prepare the equipment packages for pickup and printing paperwork

Intake of equipment in equipment storage room

COMMITTEES (quarterly or annually)

Assist with various committees as necessary

Assist with event planningAssist with document generation: handbooks, policies, etc

DIGITAL MARKETING

Monthly Newsletter on MailChimp [work with Office Coordinator]

Website: content management, monthly upload of Board documents and financials using WordPress; maintain up-to-date staff and Board bios and photos

QUALIFICATIONS

Some college; Associate’s of Arts (A.A) Degree preferred

1-2 years of related work experience

Available to be on-site at PCA station 2-3 days per week

Computer skills: proficient with MS Office applications (Word, Excel, PowerPoint), MailChimp, WordPress, and Google Applications

Strong organizational skillsAbility to operate office equipment

Excellent verbal and written communication skills

Ability to maintain confidentiality

Ability to be flexible, work independently, and to exercise good judgment

DESIRED SKILLS

Accounting/budget experience

Knowledge of bookkeeping process and financial management and its related software
