Role Overview:
The Operations Coordinator will support essential operational and administrative functions to keep our team organized and efficient. This role requires being familiar with the AEC industry and energy efficiency in building design in general. The role is crucial for tracking and reporting on key company metrics and ensuring smooth workflows across projects, contributing to data-driven decisions and supporting the company's strategic goals.
Responsibilities:
1. Project and Operational Support:
Set up and maintain project structures in our system, utilizing Microsoft 365, SharePoint, and Teams for organized file management and resource sharing.
Collaborate with technical staff to streamline project workflows and ensure the timely setup of tasks, schedules, and documentation.
2. Reporting and Metrics Tracking:
Track and report on company goals, capturing insights on team activities and project progress.
Prepare regular updates for leadership on operational performance, helping to inform decision-making and highlight opportunities for improvement.
3. Administrative Coordination:
Oversee invoicing and basic bookkeeping tasks, tracking expenses and ensuring accurate financial record-keeping.
Coordinate with vendors, partners, and clients as needed, serving as a point of contact for administrative inquiries.
4. Marketing Documentation:
Update and maintain marketing materials, including company resumes, project profiles, and general proposal templates to ensure they reflect the latest project achievements and company information.
5. Operational Efficiency and Process Improvement:
Identify and implement improvements in operational processes to enhance team efficiency and support project performance.
Assist in aligning team activities with overall company objectives by organizing and tracking key initiatives.
Requirements & Qualifications:
An associate's or bachelor's degree in Business Administration, Project Management, or a related field.
2 to 3 years of experience in operations, project coordination, or a similar role, ideally within the AEC industry (Architecture, Engineering, and Construction) or in a consulting environment.
Prior experience in an office setting supporting consulting or professional services.
Proficiency with Microsoft 365, SharePoint, and Teams.
Strong organizational skills with attention to detail and accuracy.
Ability to work independently from home in a fully remote team environment.
Excellent communication skills and ability to collaborate effectively within a remote team.
Compensation
This position will be hourly based on experience and qualifications. The range will reflect the candidate’s expertise in operations, familiarity with the Architecture, Engineering, and Construction (AEC) industry, and proficiency in key tools such as Microsoft 365, SharePoint, and Teams. This position is eligible for our 401(k) plan with up to 3% employer contributions. As part of a fully remote, flexible team environment, this role offers 24 to 32 hours per week with opportunities for growth and increased responsibilities over time.
