Job Position: Office Admin for Westhope Presbyterian Church

Reports to: Pastor and Elders/Deacons

Employment: Part-time 8 hours/week in the office, hours are flexible.

Currently hours are Monday & Thursday 10am-2pm

Responsibilities:

Maintain Church calendar online, including services, classes, workshops, etc.

Review Church website weekly to ensure dates and activities are correct both on the Calendar and the Events pages.

Help facilitate website updates as needed (ex. Team changes, updated doc postings, etc)

Manage facility rentals: sending and receiving applications, informing applicants of availability, maintaining lockbox security, accepting and returning deposits and preparing bi-monthly reports of rentals for Session meeting, walk through property to make sure facilities are in rentable condition (i.e. clean, proper temperature, appropriate furniture configuration, etc.)

Work with vendors/groups to ensure facility services are appropriate (Trash Service, Little Library, Donation Station, etc.)

Manage and order supplies for bathroom and office/copier needs.

Manage office phone and Church email including answering calls, checking voicemail, checking email and responding or directing phone/email inquiries in a professional and timely manner.

Sort and distribute mail, including being available to sign for deliveries.

Treasurer Support: scan bills and send, file bills and paperwork, track rental payments, create and send thank you letters to those who have pledged, send donation receipts each January for previous year donations.

Organize and maintain church files, both paper and on OneDrive

Maintain and update Church Directory each year

Pastor and Ministries of the church Support: Filing, Producing Weekly Church Bulletins, copying reports, assembling annual reports, prepare and execute mailings

Show initiative in improving office environment and systems and bringing concerns to the attention of the Pastor and Elders/Deacons

Execute or follow-through on instructions from Pastor and Elders

As the first point of contact for Westhope, you must be able to present yourself professionally and interact with parishioners, clients and colleagues in a friendly, welcoming manner.

Skills:

Proficiency with Microsoft Office, ability to use, or willingness to learn Google Docs and Microsoft OneDrive, Ability to take initiative in addressing needs concerning the management of the office and problem solve.
