Sonoma-Marin Construction is a Petaluma based company who has been in business for over 45 years. We have a strong staff that has been with the company for many years, and now we are looking to add an energetic, self-motivated person to join our team as an Administrative Assistant.

The ideal candidate should be able to multi-task, work well under pressure, be highly organized and professional. This individual will have exposure to a wide range of tasks and support functions and should be very comfortable with Microsoft Office and Google documents.

Some of the duties of this position will be:

-Answer phones and greet clients in a friendly and professional manner

-Schedule appointments and maintain calendars

-Schedule and coordinates meetings

-Write and edit communications such as letters, emails, and other correspondence.

-Type proposals and contracts

-Organize and maintain paper and electronic files

-Monitor, order, and restock office supplies

-Schedule office maintenance

-Maintain vendor list

-Request and maintain various licenses and certificates

-Verify insurance certificates and follow up to ensure proper coverage is in place

-Assist accounting staff with duties as needed

-Assist with social media marketing campaigns

-Other typical office responsibilities

Required Qualifications:

-Fluent in English and Spanish

-Proficient with Microsoft Outlook, Word, Excel & Google Docs

-Excellent written skills with the ability to compose a letter

-Excellent verbal communication skills

-Must be able to proofread

-Dependable, reliable and punctual

-Ability to multi-task with strong attention to detail

-Excellent time management skills

-Strong organizational and planning skills

-Ability to perform the highest level of client service

-Ability to exercise tact and courtesy when dealing with others

-Working knowledge of office equipment (printers, phones, computers)

-Must be professional, personable, and articulate

-Must be self-motivated and proactive, with excellent follow-up

-Must be a team player, willing to help when and where needed
