The San Francisco Conservatory of Music is looking for an Executive Office Assistant to manage day-to-day administrative tasks in the Office of the President and Dean. This role, which reports to the Director of Operations, Office of the President and Dean, is central to all activities related to the Executive Office; therefore, the incumbent must quickly develop familiarity with all aspects of SFCM. First and foremost, the Executive Office Assistant will provide direct support to the Director of Operations, Office of the President and Dean. The incumbent will:Provide administrative support to the Faculty Executive Committee (FEC) and All Faculty meetings by preparing agendas and taking minutes in consultation with the Director of Operations and Dean & Vice President of Academic Affairs.Provide timekeeping support to the President and Dean & Vice President of Academic Affairs, and Director of Operations to ensure meetings start and end on time. Distribute mail and packages from the mailroom to the Executive Office.Create and distribute a monthly e-newsletter based on content outlined by the Dean & VP of Academic Affairs and Director of Operations and in collaboration with the Student Council. Resolve credit card expenses for the President, Dean & VP of Academic Affairs, and Director of OperationsAssist with various duties surrounding Convocation, In-Service Day, Commencement, and other events sponsored by the Offices of the President and Dean. Prepare financial reports from Financial Edge for the Director of Operations on a weekly basis.Cover time-sensitive duties for the Director of Operations when they are away from the office.The Executive Office Assistant is the first point of contact for students, faculty, staff, trustees, VIP guests and other visitors who enter the Executive Office. With hospitality in mind, the incumbent will:Greet and welcome guests arriving at the Executive Suite.Providing hospitality to visitors in the Executive Office. This includes maintaining a clean and stocked pantry, coffee, and printing service area.Reserves conference space, prints meeting material packets, prepares beverages and snacks in advance of, and cleans up meeting space after Board of Trustees and Board Committee meetings. Board activities will require occasional overtime which is outlined in advance. Assist with reservation communications for hotel units at The Bowes Center.Assist in facilitating small student, staff, and faculty lunches with the Dean. As with all positions working in a fast-paced environment, the incumbent will perform other duties as needed. Excellent project and people management skills, with a strong ability to work with high-level managers and trustees with tact and finesse.Outstanding interpersonal skills; must interact with a diverse group of people with confidence.Professional maturity with excellent judgment and decision-making skills.Patience, perseverance, and a sense of diplomacy are vital, along with the ability to hold confidential information; the incumbent must know what, how, and to whom to communicate pieces of information. This requires a high level of tact and discretion.Excellent English usage, spelling, grammar, and punctuation, with the ability to compose polished business letters, emails, and other forms of correspondence.Ability to multitask while maintaining strong attention to detail.Proficiency using Google Office Suite and Microsoft Office.Bachelor's Degree PreferredPrevious exposure to higher education or arts administration is ideal.How to ApplyWe prefer to receive applications through our website.
