We are seeking an organized and detail-oriented Administrative Assistant to join our team. If you’re a multitasker with excellent communication skills, we’d love to hear from you!

Responsibilities: As an Administrative Assistant, you will play a crucial role in ensuring smooth operations within our organization. Your responsibilities will include:

Calendar Management:

Efficiently manage calendars, ensuring timely scheduling of appointments and dispatching technicians to assigned jobs.

Coordinate with clients to schedule service appointments.

Work Order Coordination:

Respond promptly to work order requests from tenants and property management companies.

Contact clients via phone, text, or email to coordinate service appointments.

Maintain Work Orders updated on daily basis.

Ensure timely dispatch of technicians to job sites:

Communicate with employees in Spanish to gather information from the field and provide clear directions for job assignments.

Customer Service:

Provide excellent customer service via phone, text, and email. Address inquiries, resolve issues, and maintain positive client relationships

Digital Filing:

Utilize scanners and digital tools to organize and maintain electronic files.

Software Proficiency:

Familiarity with software tools such as Adobe Acrobat, Excel, Word, and Google Drive.

Flexibility to learn new software that are used in the office.

Qualifications: To succeed in this role, you should have:

- Bilingual Communication: Fluent in both English and Spanish.

- Excellent organizational abilities and attention to detail.

- Proficiency in using office software and digital tools.

- Prior experience in administrative or customer service roles is preferred.

- Experience multitasking and being able to work well under pressure.

Schedule 9:30am-6:30pm Monday to Friday
