Terminal Engineering & Manufacturing is seeking a dedicated administrative assistant to join our team. You will be responsible for assisting with the everyday function of the office i.e., answering phones, emails, scheduling, office supplies, accounts receivable, and accounts payable. The ideal candidate will have a keen eye for detail, possess excellent communication and organizational skills, and have experience in scheduling.

Responsibilities:

- Assist the office manager in ensuring the office is productive, deadlines are met, and company standards are reached

- Answer phone calls and emails from customers and clients and direct them to relevant staff

- Work directly with the in-house trucking department manager to schedule testing, complete reports, and reach out to customers with testing reminders

- Assist with organizing office supplies and ordering as required

- Assist in setting up new employees for all positions as needed

- Assist with accounts payable using accounting software and other programs

- Assist with accounts receivable using accounting software and other programs

- File and maintain office records as required

- Help with a wide variety of tasks working directly with the office manager and company owner

Qualifications:

- Minimum 2 years of experience as an administrative assistant or in other related fields

- Associate’s or Bachelor’s degree preferred, but not required: business administration, business management, human resources management, communication, or related field

- Working knowledge of Quickbooks, Adobe Acrobat & MS Office: Word, Excel, Outlook

- Previous experience with Accounts Payable and Accounts Receivable preferred

- Punctuality and excellent time management, possessing superb communication skills and interpersonal skills, attention to detail, ability to work on a team, and adaptability are the qualities that are necessary for a successful admin assistant
