Summary

The Director of Events and Facility Rentals is responsible for overseeing the strategic planning, marketing, execution, and coordination of all life cycle events and facility rentals at CEE. This role focuses on delivering exceptional customer service, creating meaningful and memorable experiences for clients, and ensuring smooth facility operations. The Director will lead efforts in managing facility rentals, coordinating life cycle events, supervising the events team, and collaborating closely with the programs department to support community celebrations, initiatives, and activities.

Key Responsibilities:

Facility Rentals:

Network and engage with specific media, members, and non-members to promote CEE facilities and facilitate special events rental.

Prepare, review, and manage rental agreements and contracts for clients utilizing CEE facilities, ensuring all terms are clear and compliant. Follow-up regarding billing and payment as appropriate.

Sales and Marketing:

Develop and implement engaging marketing and sales plan that effectively promote CEE's facility offerings and services, including sales goals and strategy, creating compelling website content, informational packets, and a well-defined menu of offerings designed to attract potential clients.

Build and maintain relationships with preferred vendors, creating a curated list that enhances the client rental experience. Actively pitch and recommend these vendors to clients, showcasing their value and ensuring high-quality service to drive client satisfaction and repeat business.

Client Coordination:

Schedule appointments and tours for clients and vendors, providing a professional and welcoming experience.

Develop set-up forms and event plans for all rental events, ensuring all logistics are clearly communicated and executed.

Collaborate with event planners and coordinators for larger events to ensure cohesive planning and execution.

Maintain and update Salesforce CRM records to accurately track client interactions, rental agreements, and life cycle event details, collaborating with key staff to ensure comprehensive and efficient information management. Work with key staff, including clergy, the membership director, and other congregant-facing staff, to ensure that all information pertaining to life cycle services is accurately recorded in the system.

Life Cycle Event Coordination:

Oversee the coordination of life cycle events, including but not limited to:

Baby Namings

Brit Milahs (Circumcisions)

B'nai Mitzvahs

Weddings, anniversaries, vow renewals (and accompanying Ketubahs)

Deaths (Memorials, Funerals, etc.)

Manage the intake process for life cycle events and ensure timely communication with clients.

Assign clergy and other staff for events as appropriate, coordinating their involvement and requirements.

Coordinate all details for onsite events and offsite events, ensuring that all client expectations are met and exceeded.

Review ceremony and reception plans, providing detailed instructions for the facilities and security teams to ensure smooth operations.

Liaison Responsibilities:

Serve as the primary liaison among clients, vendors, and CEE staff to ensure events run smoothly and address any arising challenges promptly.

Onsite Event Coordination:

Act as a project manager for larger synagogue events and holiday celebrations including vendor coordination, staffing/volunteer assignments, and other event logistics.

Act as the onsite Event Production Coordinator, overseeing all aspects of event execution, engaging with teams, and troubleshooting as necessary.

Facilities Team Management:

Supervise the facilities team with a dotted line relationship, providing guidance and support to maintain high operational standards and facilitate successful event hosting.

General Responsibilities:

This is an at-will position. Thus, all employees are required to perform all other duties and tasks as assigned, including substituting for colleagues during absences.

Participate in events and services operated by the organization, including those on religious holidays.

Work cooperatively and professionally with all employees and members.

Adhere to and fully follow all policies and legal requirements relevant to your duties.

Maintain flexibility and adaptability in work assignments to meet organizational needs.

Requirements

Degree in Event Management, Hospitality, Business Administration, or a related field desired.

Proven experience in event planning, facility rentals, and team management.

Familiarity with Jewish culture and traditions to ensure event appropriateness and sensitivity. 

Strong communication, organizational, and negotiation skills.

Proficient in Salesforce or similar CRM systems.

Ability to work flexible hours, including evenings and weekends, as required by event schedules.

Work Environment

Prolonged periods sitting at a desk and working on a computer.

Must be able to lift to 25 pounds, as needed.
