JOB TITLE:

Shipping and Receiving Supervisor

RESPONSIBLE TO:

Senior Production Manager

GENERAL DUTIES:

- Responsible for oversight and supervision of Shipping and Receiving staff and Inventory staff to ensure they meet goals and objectives, and managing the day-to-day operations of the team.

- Oversight and preparation of outgoing shipments, receipt of incoming shipments, and all related shipping duties.

- Follow Standard Operating Procedures (SOPs) and properly document shipping-related processes with good documentation practices.

- Provide feedback to management on work-related issues and employee performance.

- Provide or appropriately assign and ensure proper training to new hires.

Additional duties and modifications may be added as the need arises.

SPECIFIC DUTIES:

- Manage day‐to‐day workflow within the team, including identification of assignments and responsibilities, distributing and delegating work, establishing work deadlines, and coordinating completion of activities.

- Supervise all Shipping and Receiving and Inventory staff, including providing direction, guidance, motivation, discipline, feedback, evaluation, and training.

- Serve as primary contact for Shipping in communicating, coordinating, troubleshooting, and resolving all issues with various departments (Customer Service, Packaging, Production, Purchasing, Quality Control (QC), Inventory, Regulatory, and Finance) regarding product, shipping, receiving, inventory, and customer account issues.

- Be responsible for verification and accuracy check of outgoing shipping packages.

- Ensure professional, accurate, and thorough communication with customers regarding shipment confirmation and details.

- Oversee shipment of all outgoing products - properly pick, package, and verify quantities, destination, and shipping account; Designate pick-up/drop off as needed.

- Use, and guide team in using QuickBooks in processing orders and generating shipping documentation

- Handle priority, complex, custom, and/or international orders and special shipments.

- Maintain minimum finished good products and meet customer deliveries.

- Coordinate Shipping regarding outgoing orders to be filled and backorders.

- Oversee maintenance, cleanliness, and efficiency of the Shipping room, Finished Goods cold room, receiving area, and supplies.

- Oversee and ensure minimum inventory and supplies for shipping and packaging of products.

- Assist the Packaging Department as needed, including coordinating with the Packaging Supervisor to schedule Shipping Team members to train in, and to perform, Packaging. Packaging duties may include labeling, filing, and packaging of finished good products.

- Resolve individual conflicts or problems with a specific project or task.

- Responsible for creating, writing, updating, and maintaining procedures and protocols to govern all shipping-related processes.

- Lead and participate in shipping, receiving, and inventory audits.

Additional duties may and modifications be added as the need arises.

QUALIFICATION & EXPERIENCE REQUIREMENTS:

- Bachelor’s degree or 3+ years of shipping experience or equivalent.

- Preferred: 1-2+ years of supervisory and/or management experience.

- Preferred: experience with FedEx and UPS online delivery and pick-up

- Preferred: experience with QuickBooks software

- Proficient in Microsoft Suite (e.g. Word, Excel), Google Workspace (e.g. email, Sheets, Docs), and Adobe Acrobat.

- Must be detail oriented and excel at record-keeping - Have the ability to work well under multiple deadlines.

- Excellent writing and communication skills.

- Able to think critically, analyze, and troubleshoot data.

- Ability to lead and work well on a team.

- Must have a vehicle and a valid CA driver’s license and be willing to drop-off at FedEx/UPS locations for emergency/missed pick-ups.

- Must be able to lift 50 lbs.

- Preferred: Forklift or pallet mover certification - Able to work in the cold room frequently, which is kept at 2-8°C (35.6 – 46.4°F).

GENERAL ON THE JOB TRAINING REQUIREMENTS:

- Time management.

- Prioritizing tasks to meet deadlines.

- Outgoing shipment of products and Quality Control checks of outgoing shipments.
