Human Resources Coordinator

At the Cal Alumni Association, the human resources (HR) team is focused on hiring great employees, and fostering a workplace culture centered on inclusion and belonging. We’re searching for an experienced HR Coordinator to provide skilled administrative support for our department ensuring smooth and efficient business operations. The Coordinator cultivates relationships and trust with our employees, and will help with important functions such as HR data management, staffing, and employee engagement. If you have HR experience working in a small company or non-profit organization and truly enjoy wearing many hats, this may be the job for you.

SUPERVISOR: Senior Director, Human Resources

RESPONSIBILITIES:

HR Administration

Enter employee data and upload supporting documentation in HRIS, and audit HRIS for accuracy and compliance.

Route documents and contractor agreements for signatures using an e-signature app; download and organize finalized documentation.

Assist with recruiting including job postings and candidate communications.

Respond to employment and unemployment verification requests.

Assist with employee engagement initiatives, embedding DEIB principles into our programs.

Submit compensation and benefit survey data, and purchase reports.

Assist in the communication, interpretation, and upkeep of the employee handbook, escalating complex issues.

Other duties as assigned.

Risk Management and Compliance:

Ensure all documents are filled out completely and all signature approvals are included.

Ensure staff completion and HR documentation of all required training courses, including Umbrella MOU requirements.

Digitize, upload, and organize hard copy files; identify data to be destroyed per Data Retention Policy.

Submit annual EEO-1 and California Fair Pay reports. Reconcile HR database with payroll database, and collaborate with the Payroll team to resolve discrepancies as needed.

Budgetary support:

Perform first-level review of department invoices and apply expense codes.

Reconcile health care invoices, escalating issues as needed.

Administer the work study program; report student wages and hours for reimbursement.

REQUIRED QUALIFICATIONS:

aPHR certification or working knowledge of principles and practices of HR administration.

2+ years human resources experience in a variety of HR disciplines

Knowledge of federal, California, and local employment and payroll laws.

Proven ability to work with confidential information and act with discretion, diplomacy, and professionalism.

Proficient in Google and MS Office software applications.

Experience using HRIS and benefit administration software applications.

Excellent organizational skills and the ability to manage multiple priorities with attention to detail.

Good communication, interpersonal, follow-up, problem-solving, and creative thinking skills.

Must submit to Consumer Report Investigation and FBI/DOJ fingerprint background checks.

Must be able to lift, push, and pull up to 15 pounds.

Ability to work occasional evenings and weekends in addition to assigned work shifts.

PREFERRED QUALIFICATIONS:

Degree in Human Resources or related field.

aPHR, PHR, SHRM-CP or equivalent certification(s).

Pay Rate and hours: This position is classified as a full-time, hourly, non-exempt position. Pay range will be between $29-32/hr. We have a friendly, relaxed but professional environment, and we pride ourselves on our team approach.
