Position Overview

We are seeking a highly organized, proactive, and personable Office & Staffing Administrator to join our team. This full-time position is central to the daily operations of our agency and will play a key role in both administrative support and caregiver staffing coordination.

You will work closely with leadership, clients, and caregivers to ensure smooth office operations and timely staff placements that meet the needs of our clients.

Key Responsibilities

Office Administration:

Oversee and maintain daily office operations

Provide administrative support to management and client service teams

Answer phone calls and direct inquiries appropriately

Support compliance with internal policies and regulatory requirements

Organize and maintain digital and physical records

Staffing Coordination:

Coordinate and schedule caregivers for client shifts

Monitor and respond to schedule changes, call-outs, or urgent coverage needs

Maintain up-to-date records of caregiver availability, credentials, and preferences

Assist with onboarding and orientation of new staff

Build strong relationships with caregivers and clients to ensure satisfaction and retention

Qualifications

2+ years of experience in office administration, staffing coordination, or healthcare operations (home care experience is a plus)

Excellent communication and interpersonal skills

Strong organizational and problem-solving abilities

Proficiency in Microsoft Office Suite and scheduling software (ClearCare/WellSky a plus)

Ability to thrive in a fast-paced, team-oriented environment

High level of professionalism, discretion, and attention to detail
