Mid-size architecture firm located in Downtown San Jose seeking an Office & Accounting Coordinator (30-40 hrs/wk) to join our team. As this is a hybrid work position with 3 full days in office, candidates must be able to commute to our office.
General office responsibilities and opportunities may include:
o Light office duties, including answering phones, managing office calendar, sorting mail and deliveries, ordering supplies, and setting up conference room for presentations
o Communicating with facilities manager on maintenance needs

Accounting responsibilities and opportunities may include:
o Full cycle Accounts Payable / Accounts Receivable
o Vendor Coordination / Tracking
o Collections
o Monthly reconciliations
o Coordination with Project Managers
o Track expenses/revenues/budget
o Coordinate and reconcile credit card transactions and statements
o Scan and enter invoices and client receipts into Deltek Ajera
o Prepare monthly, quarterly, and annual reports for internal and external reporting
o Assist with other related special projects as requested

Education and experience requirements are:
o Minimum A.A. degree
o Minimum 2 years of experience in an office environment
o 3-5 years progressive accounting experience
o Solid understanding of General Ledger accounts
o Proficiency in Microsoft Office Suite with the ability to demonstrate skills upon request.
o Intermediate-advanced Excel skills including VLOOKUP’s and pivot tables.
o Deltek Ajera experience is a huge plus
o Billing experience a plus

Compensation and Benefits:
Compensation starts as $25/hr, depending on experience
Hybrid schedule with in-office days on Tuesdays, Wednesdays, and Thursdays and remote-work days on Mondays and Fridays
