Local office looking for an office manager to run our family HVAC construction company. This position is a fast-paced and ever-changing one. It requires flexibility, independent problem solving, working collaboratively with other team members, working independently in an office setting, the ability to pivot, the ability to tackle a project and see it to its conclusion and so much more. The candidate must be well versed in Microsoft and proficient in Word, and Excel. Experience with QuickBooks is a must in our office.
The person in this position will be trustworthy, have a positive and friendly attitude, be a good communicator, be extremely organized, and possess strong critical thinking and analytical skills. Confidentiality and professionalism are essential in this position.
Some of the administrative duties include:
Overseeing the daily office operations
Maintaining the organization of both office and customer needs, coordinating services as required.
Answering phones, voicemails and emails.
Receiving, opening, organizing mail for the office.
Placing orders for office and customer needs.
Assisting and supporting with the preparation of communications, such as letters, memos, emails and invoices.
Assisting independent accountants, monthly sales tax and other professionals by obtaining and transmitting requested information.
Assisting with basic banking and documentation of income and bill paying activities.
Data entry for office billing matters.
