Office Administrator

20+ person landscape design and build company seeks high level bi-lingual Spanish and English speaking, reading, and writing individual with genuine integrity and uplifting good energy to direct, support, and facilitate top-notch company reputation initiatives.

If that sounds like you, this director of first impressions position could be a great fit for you.

In this position, you will be the primary individual responsible for phone, email, text, zoom, and other similar forms of communication which cumulatively deliver the first impression to our prospective Clients (and existing Clients).

You will represent and maintain our company virtual office, communicate with prospects and Clients, project managers, and other upper level management. (you will act as the hub of information that flows in between field operations, our internal office, and external communication with Clients)

You will help us align schedules, transmit messages, capture data, to-do's, deadlines, coordinate material orders, research material pricing, assist with meeting agenda planning, and oversee record keeping.

One specific new system we'd like you to help us create: a new system to ensure our company safety meetings are being held at appropriate intervals and that we are reviewing appropriate safety subject matter relevant to the work we are doing on current projects and relevant to specific seasons and their affect on our team at various job sites at different times of the year. This system should be tracked accurately with signatures of all those in attendance with a date each time.

A few other systems we'd like to get your help developing and managing are: a new system to track frequencies, actions, reminders, etc. for our fleet vehicle and equipment maintenance.

Another system we need: Client praise/concern ticket processing.

There are other systems we'd like to create too and we'd love someone who can perceive the need for systems we haven't even thought of yet that will help us get even better at providing a top notch service to our Clients, and helping our employees experience a refreshing and top level work environment.

Perhaps one of the most interesting parts of this position will be helping the business owner (who is also the license holder for the landscape and concrete work we do) hold other people accountable to commitments, timelines, deadlines, and help motivate, reward, and/or recommend discipline if/when actions (or lack thereof) warrant.

You may occasionally support other upper managers in a similar way.

Salary: $22.00 - $28.00 per hour
