OVERALL RESPONSIBILITY:
The Campus Services Manager is a dynamic leader who guides the Campus Services team and reports directly to the Associate Director of Campus Residential Services. This position will primarily manage the campus front desk staff and bookstore operations responsibilities will include handling recruitment, performance evaluations, and ongoing development of staff; leading and setting a standard of exceptional customer service for students, faculty, staff, and campus visitors. In addition to playing a key role in shaping and executing departmental strategies, managing budgets, and providing essential administrative and operational support for functions related to campus residential services.
ESSENTIAL DUTIES:
Coordinate staff schedules and daily assignments ensuring proper coverage for front desk, bookstore operations and to support campus tours and in person events.
Recruit, hire, train, and evaluate campus services front desk team.
Provide ongoing training and support for daily functions of the campus services team to meet departmental goals aligned strategic plans.
Create training materials and resources for campus services staff.
Foster a positive and inclusive team environment.
Ensure exceptional customer service to students, faculty, staff, and campus guests.
Triage and respond to inquiries, concerns, and issues in a timely and professional manner.
Collaborate with campus departments to provide student support and resolve issues that may arise both during and outside of normal operational hours including evenings and weekends.
Develop and implement departmental strategic plans in alignment with OSESS and Institutional Strategic Planning
Manage budgets, track expenses, and ensure fiscal responsibility.
Oversee bookstore inventory management, sales, and reporting.
Ensure compliance with Institutional policies and procedures.
Coordinate and conduct campus tours and answer general questions from prospective students.
Collaborate with admissions and student services staff in providing excellent support for prospective students.
Assist with Pacifica Extension events, commencement, and off-site events.
Assist and provide coverage for staff during student check-in/check-out procedures.
Serve as the primary point of contact for student lodging or dining inquiries, using policies, procedures, and sound problem-solving skills to address concerns or escalate issues as needed.
Provide support as back-up for the Associate Director of Campus Residential Services (housing/dining), as needed or in their absence by responding to residential or dining inquiries and assisting with associated billing processes.
Liaise and problem-solve with Program Assistants, faculty, and OSESS staff regarding student needs during residential sessions.
Attend Student Services team meetings and participate in training and development opportunities.
Collaborate with various campus departments, including Facilities, Admissions, and Academic Programs, to support students and campus events.
Communicate effectively with students, faculty, staff, and external partners.
EDUCATION and/or EXPERIENCE
Bachelor’s degree is preferred, or the equivalent education and relevant experience with training in a related field.
2-4 years of supervisory experience preferably within higher education setting.
COMPUTER SKILLS
Intermediate computer skills with the ability to accurately and efficiently utilize a computer to input data, maintain automated records and generate computerized reports using a variety of software programs including MS Office Suite.
LANGUAGE AND MATHEMATICAL SKILLS
Ability to read, write, speak, and receive instruction in English. Intermediate math required.
REASONING ABILITY
The ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists is required, along with the ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Ability to mediate and resolve issues; ability to determine issues and creatively problem-solve; ability to engage other departments in meaningful dialogue and articulate issues faced by the department; and ability to analyze the complex and make simple.

PHYSICAL DEMANDS

This position may require occasional lifting of items up to 25 pounds, standing for extended periods, and navigating between different campus locations or across campus grounds while providing tours.

The position provides leadership and support to frontline staff responsible for positive interactions between students, employees and visitors arriving on campus to engage with the community for educational and other varied reasons.
