Office Assistant/Receptionist/Runner

Nasland Engineering is a Civil Engineering and Land Surveying firm. We currently have an office assistant/receptionist need.

Responsibilities/Duties include, but are not limited to:

Reception, maintenance and administrative duties within the office as assigned by management.

1. Reception / Front Office (Primary)

Answer phones, transfer calls to appropriate party or voice mail, as applicable.

Greet visitors, including providing refreshments, conference room set-up and clean-up.

Keep track of cell tower personnel and other maintenance workers (sign in sheet).

Maintain voice mail system (messages, new employees, directory, etc.).

Maintain employee sign out log and enter mileage for accounting department.

Prepare all outgoing mail and packages, using most appropriate delivery method (in-house runner, messenger service, mail, UPS, FedEx, etc.).

Open and distribute mail, make copies of and/or scan all documents for appropriate distribution.

Close down the front office, lock south gate and front door, clean up kitchen.

2. Administrative tasks/filing.

Assist Marketing department as needed.

Assist Accounting as needed.

Maintain various digital and paper filing system, including rotating drawers as required for space and storage, shredding, ensuring they are neat and organized.

3. Office Maintenance / Supplies.

Purchase office supplies, survey supplies, IT supplies, kitchen and restroom items (online primarily)

Inventory and stock supply and marketing closets, kitchen and restrooms.

Check in supplies when delivered; verify accuracy of packing slip/invoice.

Coordinate various building maintenance and repairs.

Empty trash/recycle receptacles (1 weekly).

Trouble shoot copy machines, call for repair if necessary.

Change drinking water filters.

Make deliveries and pick-ups as needed.

Bank Deposits as needed.

Obtain electric meter reading monthly for tenant invoices.

Assist with company events like BBQ’s and parties (3-5 times a year).

4. Vehicle Maintenance

Maintain vehicle maintenance logs (7 vehicles).

Take vehicles in for oil changes, repairs and car washes when necessary.

Verify monthly mileage and maintain mileage log

5. Other duties as assigned by management as needed.

Skills required:

Good verbal and written communication

Knowledge of Microsoft office suite

Good driving record

Ability to lift at least 25lbs without assistance.

Working Hours: Monday through Friday: 6-7 hours per day.
