OFFICE ADMINISTRATOR & ASSISTANT TO OWNER

JOB DETAILS

Location: La Mesa, CA

Schedule: Monday-Friday, 7:00 AM - 4:00 PM

Starting Pay: $20/hour

Employment Type: Full-time

Probationary Period: This position includes a 60-day probationary period to ensure a great fit for both you and the company.

POSITION OVERVIEW

This role is perfect for a naturally organized person who is a clear communicator and helps maintain a friendly, productive office environment. It offers excellent growth potential, with opportunities to advance as our company expands.

KEY RESPONSIBILITIES

Provide direct administrative and scheduling support to the company owner, including email management

Answer phone calls and text messages from potential and existing clients

Coordinate scheduling for project dates, site visits, price quotes, and inspections

Conduct basic research as needed for projects and business operations

Complete forms and applications

Schedule concrete materials and pump services

Enter bills and expenses into company software

Generate and send invoices to clients

Pay company bills and manage accounts payable

Track projects and tasks, ensuring proper follow-up

General problem-solving and office management duties

Other construction office administration as needed

REQUIRED QUALIFICATIONS

Transportation: Valid driver's license, reliable vehicle, and current auto insurance

Smartphone: Must have a reliable smartphone (Android or iPhone) with a data plan to use company applications

Physical Requirements: Ability to lift up to 25 pounds occasionally

Language Skills: Fluent English (reading, writing, and typing required)

Computer Skills: Proficiency with Microsoft Office Suite and Google Workspace platform

Communication: Strong phone and written communication skills

NICE-TO-HAVE QUALIFICATIONS

Bilingual (English/Spanish)

Previous experience in construction or a related field

Previous experience in an Executive Assistant role or similar

Familiarity with accounting software
