Billing Specialist (Full Time, On-Site)

Rehabilitation Care Coordination is a private nurse life care planning & care management company based in San Diego. We have been serving patients with catastrophic injuries throughout Southern California for over forty years.  The company specializes in comprehensive Case Management and Life Care Planning including coordination of services, cost containment, discharge planning, integration of services and assessment of short- and long-term goals.  We are a woman owned small business.

We are seeking a detail-oriented and reliable Billing Specialist to join our team in San Diego. This in-office role is responsible for accurately entering employee billing sheets, generating and sending client invoices, and providing daily reports to management on billing performance—both in hours and revenue. The ideal candidate has strong organizational skills, a high level of accuracy, and familiarity with medical or professional billing practices.

Key Responsibilities

Accurately enter daily billing data from employee billing sheets into Timeslips.

Verify hours worked and services rendered before invoice generation.

Maintain accurate records for auditing and compliance purposes.

Generate and send professional invoices to clients based on billing data every month.

Ensure timely delivery and appropriate follow-up on outstanding balances working alongside the C.O.O. and other admins.

Address client questions regarding invoices with professionalism.

Compile and send end-of-day billing summaries to management, detailing total hours billed and revenue generated by each employee.

Identify and flag anomalies or discrepancies in billing data.

Ensure all billing practices comply with California labor laws, HIPAA, and San Diego local regulations.

Protect patient and employee confidentiality in all billing activities.

Work closely with staff to resolve inconsistencies in submitted billing sheets.

Support accounting and HR functions with billing-related insights when needed.

Qualifications

Required:

High school diploma or GED.

2+ years of billing, accounting, or administrative experience.

Strong Excel and digital recordkeeping skills.

Experience with Timeslips.

Excellent attention to detail and confidentiality.

Excellent interpersonal, verbal, written & communications skills. 

Ability to prioritize workload and handle multiple responsibilities in a fast-paced environment.

Highly motivated and able to project an image of professionalism.  

Prior experience in medical or legal billing.

Familiarity with California labor and privacy regulations.

Physical & Work Requirements

This is a fully in-office position at our San Diego office, Monday–Friday, 8am-4:30pm

NO WORK FROM HOME OR REMOTE OPTIONS AVAILABLE.

Prolonged periods of sitting, data entry, and use of computer systems.

Ability to handle sensitive financial and personnel data with discretion.

Competitive hourly wage or salary commiserate with experience - $24-29/hr
