We are looking for an experienced, reliable& motivated individual to join our team in the role of Administrative Assistant in our Property Management office, located in Downtown El Cajon, CA. This is a full time, in person office position, Monday through Friday hours of 8am-5pm. No weekends. Duties and Responsibilities include, but are not limited to:

-Management of Rent Rolls in Yardi & Updates delinquency reports

- Handle document control and maintenance of necessary paperwork

-Tenant Policy & procedures. Compliance and document control. Create, update and maintain rental agreements/leasing forms as needed

-Provide administrative support to Property Managers and Resident Managers

- Manage administrative tasks to support daily operations

- Assist in special projects as assigned

- Perform general office duties including answering phones, responding to emails, and managing mail, scan & faxing, auditing.

- Conduct data entry tasks and organize filing systems

- Maintain office supplies inventory and communicate with vendors/suppliers

- Process Invoice/Accounts Payable and Payroll (biweekly) using Quickbooks

-Report payroll to Paychex biweekly

-Scan Bank Deposits

-Run office errands

Experience:

- Proficiency in Microsoft Office Suite, Word, Excel, PDF/Adobe Acrobat

- Strong organizational skills with keen attention to detail. Ability to Multitask

- Ability to prioritize tasks effectively and meet deadlines

- Excellent time management skills with a proactive approach

- Experience in office management or clerical work preferred

- Efficient typing skills and ability to proofread work accurately

- Familiarity with Quickbooks, Yardi, Computer software is a plus

- Knowledge of Real Estate, Property Management & Fair Housing is advantageous

- Excellent communication skills in English (Written/Verbal)

- Bilingual proficiency (Spanish) is desirable

- Ability to maintain positive working relationships and work well within a team

- Demonstrated discretion, trustworthiness, common sense and thick skin

- Capable of working independently on multiple projects simultaneously

Requirements:

- Must be able to lift up to 15 pounds at a time

- Credit check will be conducted due to handling sensitive/confidential information
