General Summary: Under direction, performs general clerical duties. Work cohesively with team members and attorneys to ensure efficient and excellent internal and external customer service.

Responsibilities:

Assist with the filing of correspondence and file retention maintenance.

File correspondence and other materials in appropriate client file.

Retrieve and shelve files, specimens, storage boxes and exhibits, as required. Locate misplaced items.

Utilize computer database, bar code equipment and electronic mail to track file information.

Utilize internal File Locator database to update inventory and track the circulation of files.

Organize and maintain physical files.

Assist with the retention and file transfer activities obtaining relevant files, preparing files, staging for review, and preparing for shipment or destruction.

Organize and maintain digital records.

Updating appropriate remarks in file system database.

Updating appropriate physical files related to Macro-changes.

Perform miscellaneous clerical tasks as assigned by the Firm Facilities Supervisor and Director of Administration.

Qualifications:

Legal file room experience preferred.

Previous data entry experience preferred.

Ability to read, speak and write English.

Ability to use office equipment.

Ability to pay attention to detail, follow procedure and work effectively with others.

Ability to work effectively with minimal supervision after initial training.

Strong organizational skills.

Able to thrive in a fast-paced, dynamic environment.

Team player and a positive attitude is a must.

Must meet minimum testing requirements.

Able to lift and carry up to 25 pounds.

Supervisors: Facilities Firm Supervisor

Status: Full-Time, Non-Exempt

Hours: Monday through Friday, 8:30 a.m. to 5:30 p.m. This position depends upon the ability of the employee to work closely with attorneys and staff members during regularly scheduled hours. This position requires the ability to work overtime, which often cannot be predicted in advance.
