Position Summary
The Executive Administrative Assistant is a dedicated support role to the Vice President of Property Management which includes but is not limited to, regional property management functions and new home design, acquisition, delivery and installation. This position will provide administrative support for out-of-state properties using telephone, email, text, computer messaging and other forms of communication to track tenant activity, rent collection, rule violations, rent increases, capital improvement projects, new home activities, landscape maintenance, tree maintenance, snow removal and other property specific tasks. This position also supports new home activity in California, Colorado, Idaho and Nevada, which includes but is not limited to, identifying new home opportunities within the company portfolio of properties, as well as potential new home opportunities outside the portfolio, coordinating and tracking the removal of existing pullout homes and clearing lots, monitoring new home manufacturing, delivery, setup and completion.

Position Performance Objectives
The essential functions include, but are not limited to the following:
Receive, read and summarize incoming mail, email and telephone calls.
Work closely with resident managers in managed portfolio to ensure timely rent collection, effective rule enforcement, timely capital improvement project completion, and smooth and consistent property operations.
Track new home activity in California, Colorado, Idaho and Nevada by communicating with other employees, factories, delivery transporters, contractors, vendors and government enforcement agencies.
Compile reports and track trends in occupancy, delinquency, and marketing in managed portfolio areas.
Follow up on action items after VP makes property visits to include, but not be limited to, monitoring, adding, deleting and calendaring projects and various activities.
Create and track resident notices for late rent and rule violations.
Assist in compiling data for budgets, audits, investors, clients and governmental agencies.
Maintain schedule of meetings, park visits, deadlines, airplane, hotel and car rental arrangements, and related appointments.
Finalize tenancy applications and prepare lease documents as needed for managed portfolio.
Prepare resident rent/utility statements for the properties within the portfolio.
Maintain familiarity with laws of the states where managed portfolio is located.
Other duties as assigned.

Physical Requirements
Has the ability to work at the corporate office in front of a computer screen/typing approximately 90% of a typical working day.
Has the ability to bend, reach and lift boxes and office supplies up to 30 pounds.
Experience Requirements
AA Degree minimum
Minimum 3 years' multi-family residential property management experience
Strong proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace
Experience with property management platforms (Rent Manager, Yardi, AppFolio, or equivalent) is a plus
Excellent written and verbal communication skills
Mobilehome park experience, preferred but not required
Bilingual (English/Spanish) preferred but not required
