Intake Clerk/Billing Assistant

We are currently seeking a diligent and organized individual to join our team as an Intake Clerk/Billing Assistant. In this role, you will play a pivotal part in ensuring smooth operations within our firm by handling various administrative tasks and assisting with file intake procedures.

Responsibilities:

Greet clients and visitors in a courteous and professional manner.

Assist with the intake process for new clients, including collecting necessary information and documentation, conflict checks and setting up new files in billing system.

Handle incoming and outgoing mail, packages, and deliveries.

Provide general clerical support, including photocopying, scanning, and filing documents.

Collaborate with team members to ensure efficient workflow and client satisfaction.

Assist with some collection efforts by following up on outstanding invoices, sending reminders, and maintaining records of payments received.

Assist Billing Department with electronic billing processes, including generating invoices, pre-bill corrections, and submitting invoices to clients electronically.

Perform other administrative duties and ad-hoc tasks as assigned.

Qualifications:

High school diploma or equivalent; college degree preferred.

Previous law firm experience in a clerical or administrative role is advantageous.

Excellent communication and interpersonal skills.

Strong attention to detail and organizational abilities.

Proficiency in Microsoft Office suite (Word, Excel, Outlook).

Ability to prioritize tasks and manage time effectively.

Discretion and respect for client confidentiality.

Knowledge of legal terminology and procedures (preferred but not required).
