Candidate Profile: Operations Manager

Company Overview:

We are a leading voiceover training program that uniquely blends martial arts principles with comprehensive voiceover instruction. Role Overview:

As an Operations Manager, you will play a pivotal role in ensuring the seamless functioning of our organization. You will oversee various aspects of operations, lead teams, facilitate meetings, and master our systems to optimize efficiency.

Given that the majority of this job will be performed remotely in the candidate's home office, the individual must have a high level of technical savvy, be a fast learner, and possess their own office equipment (computer, high-speed Internet, and a smart-phone).

Key Duties:

1. Manage Operations:

-Spearhead day-to-day operations to ensure smooth functioning across all departments.

-Implement strategic plans to streamline processes and enhance productivity.

-Maintain a keen eye on operational metrics and identify areas for improvement.

2. Oversee Team and other Departments:

-Provide leadership and guidance to team members, fostering a collaborative and supportive work culture.

-Collaborate with department heads to align operational objectives with overall company goals.

-Monitor team performance and provide feedback for continuous improvement.

3. Lead Meetings:

-Organize and lead meetings to facilitate communication and decision-making.

-Ensure meetings are productive, focused, and action-oriented.

-Drive initiatives and projects forward through effective meeting management.

4. Learn the Systems in Place:

-Quickly familiarize yourself with our existing systems, including CRMS (KEAP/Infusionsoft), automations (Zapier.com), and project management tools (Monday.com).

-Continuously learn and adapt to new technologies and tools to enhance operational efficiency.

Additional Preferences:

Experience with CRMS, particularly KEAP/Infusionsoft:

-Prior experience with CRMS platforms, specifically KEAP/Infusionsoft, will be highly advantageous.

-Ability to leverage CRMS functionalities to streamline customer relations and optimize workflows.

Familiarity with Automations, especially Zapier.com:

-Proficiency in Zapier.com or similar automation platforms will be beneficial for integrating systems and automating repetitive tasks.

-Capability to design and implement automation workflows to enhance operational efficiency.

Familiarity with tasking software/s:

-Experience with Monday.com or similar project management tools will be valuable for coordinating tasks, projects, and team activities.

-Ability to utilize Monday.com or other project management tool to track progress, allocate resources, and ensure project deadlines are met.

Process Client Invoices and Adjustments:

-Utilize merchant services to process payments, adjust existing orders, remedy failed payments and payments made in error.

-Exercise a general upkeep and awareness of any custom orders and keep clients apprised of invoices and timely payments.

Desired Personal Qualifications and Qualities:

Proven experience in operations management or a related field.

Strong leadership skills with the ability to motivate and inspire teams.

Excellent communication and interpersonal abilities.

Analytical mindset with a focus on continuous improvement.

Adaptability and willingness to learn new technologies and systems.

Able to work independently; self-motivated

Comfort receiving and giving respectful feedback

Excellent time management skills

Efficient; capable of multi-tasking and while staying focused; good at prioritizing
