Position Overview:
The organization seeks a highly skilled and experienced Assistant to the Chief Executive Officer (CEO) to provide comprehensive support in a fast-paced and dynamic environment. The ideal candidate will possess exceptional organizational and multitasking abilities, a proactive approach to problem-solving, and a commitment to maintaining the highest standards of confidentiality and professionalism. Key Responsibilities:
1.Executive Support:
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements while prioritizing conflicting demands.
- Prepare and organize materials for meetings, including agendas, presentations, and reports, ensuring that all necessary documents are available in a timely manner.
- Act as a liaison between the CEO and internal/external stakeholders, maintaining professional and respectful communication.
2.Administrative Duties:
- Oversee the day-to-day administrative functions of the CEO’s office, including correspondence, filing, and data management.
- Conduct research and prepare briefing materials to support decision-making processes and strategic initiatives.
- Assist in the preparation of board meeting materials and minutes, ensuring accurate documentation and follow-up on action items.
3.Project Management:
- Coordinate and monitor special projects as directed by the CEO, ensuring timelines and objectives are met.
- Collaborate with various departments to facilitate effective communication and project execution.
- Evaluate project outcomes and provide recommendations for improvements and efficiencies.
4.Confidentiality and Discretion:
- Uphold the highest level of confidentiality regarding sensitive information and matters pertaining to the CEO and the organization.
- Exercise discretion and sound judgment in decision-making, particularly when handling confidential or sensitive issues.
Qualifications:
- Minimum of Three years of experience in an executive assistant or similar role, supporting senior leadership.
- Exceptional organizational skills with a keen attention to detail and the ability to manage multiple priorities simultaneously.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
- Outstanding verbal and written communication skills, with the ability to interact effectively with individuals at all levels of the organization.
- A proactive, self-motivated approach with a strong sense of initiative and the ability to work independently.
