We are a family-owned and operated HVAC company serving the LA County community for 34 years. We are currently seeking a part-time or full-time office administrative assistant to join our team. The position requires working at our physical office located in North Hollywood. Work hours can be flexible to some degree. ( Can be ideal for parents in charge of kids' school drop off and pick up).

We will provide the necessary training for the duties and responsibilities of the Assistant Administrator which include, but are not limited to:

- Accomplishing day-to-day organizational tasks and facilitating efficient communication across the entire office or specific department.

- Scheduling appointments with clients and dispatching technicians to job sites.

- Providing customer service.

- Answering or transferring phone calls and taking messages for select staff members.

- Maintaining the office calendar.

- Writing memos, correspondence, invoices, receipts, spreadsheets, and other reports as needed.

- Keeping the office database and filing system up to date and organized.

- Purchasing supplies and working with vendors.

- Working with office staff and field staff.

- Assisting with A/R and A/P.

-Open/close office.

Necessary skills:

Some experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant

Knowledge of office management systems and procedures is a plus but not a must.

Working knowledge of office equipment (computers, printers, iPads, mobile devices, and virtual communications)

Proficiency in MS Office and MS Excel

Familiarity with Quickbooks

Excellent time management skills and the ability to prioritize work

Attention to detail and problem-solving skills

Excellent written and verbal communication skills

Strong organizational skills with the ability to multi-task
