Part-Time Marketing Coordinator for dental group

We are seeking a proactive and organized Part-Time Marketing Coordinator to support the marketing and referral efforts across our oral surgery offices. This role is responsible for developing and executing localized marketing strategies, strengthening referral relationships, training staff on best practices, social media management, and tracking marketing outcomes to support consistent growth and exceptional patient experiences.

Key Responsibilities

Marketing Strategy & Communication

Develop and implement marketing strategies tailored to the unique needs of each office location.

Create and manage marketing calendars, promotional activities, and communication plans.

Keep offices accountable for executing agreed-upon strategies.

Referral Relationship Management

Design and deliver in-office training on best practices for interacting with new and existing referring offices.

Collaborate with office teams to improve communication and professionalism in all referral interactions.

Reporting & Analysis

Collect and organize reports from marketing efforts, including business cards and contacts from referral visits.

Maintain and update referral office databases for each location.

Evaluate referral sources using production data to track efficacy and optimize outreach strategies.

Follow-Up & Documentation

Send timely and personalized follow-up emails to offices after visits, including referral links, updated referral forms, and current insurance participation lists.

Ensure all referral forms and insurance lists are accurate and up-to-date across all locations.

Weekly communication with offices of patient-to-patient referrals and coordinate the management of “Thanks for your Recommendation” notes to referring patients.

Strategize follow-up with satisfied patients for their to encourage and request Google reviews.

Social Media Management

Plan, create, and schedule weekly social media posts across platforms for all offices.

Design basic graphics or coordinate with a designer as needed.

Monitor comments, messages, and tags; engage with community appropriately.

Track and analyze social media performance using platform insights and basic reporting tools.

Stay current with trends and recommend strategies to boost engagement and reach.

Collaborate with internal teams to source content and highlight key initiatives.

Patient & Office Engagement

Work with office staff to support consistent, high-quality patient experiences.

Create and manage opt-in email marketing lists, segmented by office, to communicate with patients, referring office staff, and doctors.

Qualifications

1+ years of marketing, communications, or related experience. Relevant college coursework may be accepted in lieu of equivalent professional experience.

Exceptional attention to detail—accuracy and consistency are essential in all communication and documentation.

Excellent email communication skills, with a strong grasp of tone, clarity, and follow-through.

Highly attuned to professional written presentation—understands how messaging and formatting reflect the brand.

Strong organizational skills with the ability to manage multiple projects and timelines.

Proficiency in email marketing platforms, Google Workspace/Microsoft Office, and CRM or referral tracking systems.

Ability to work independently and manage relationships across multiple office locations.

Comfort with occasional in-person visits to offices as needed.

Preferred Attributes

Knowledge of oral surgery or dental referral systems.

Compensation & Schedule

Part-time: Approx. 10–20 hours per week (flexible, may vary depending on campaign activity).

$20-25 hourly rate based on experience.

Remote and in-office hybrid model, depending on location and needs.

Must be available 4-6 hours per week during normal business hours.
