Description Job Description: Project Management and Administrative LeaderEssential Duties and Responsibilities:Project Management:

Lead company-wide project management efforts, including facility upgrades, manufacturing processes, and client projects.

Develop and implement new policies and procedures to streamline operations.

Co-create and maintain an inventory tracking system, ensuring accurate and efficient stock management.

Track and manage recurring tasks related to administration, operations, and accounting.

Oversee the task management system, ensuring all projects are completed on time and within budget.

Administration:

Review and enhance administrative procedures to improve efficiency.

Manage the CEO's schedule and meetings, ensuring optimal time management.

Develop a new filing system and improve the overall administrative infrastructure.

Oversee production staff payroll, including attendance, punch cards, and hours calculation.

Monitor and maintain company filings, policies, and related records.

Handle incoming packages/mail and manage important documents.

Provide light phone support and customer service as needed.

HR:

Manage job postings, review candidates, set up interviews, and onboard new hires.

Create and issue disciplinary documents as needed.

Conduct exit interviews and manage labor board filings and workers' compensation claims.

Accounting:

Manage vendor relationships and purchasing, including order placement, tracking, and payment reconciliation.

Handle basic bookkeeping in QuickBooks Online, including client invoicing, bank entry classification, and report generation.

Reconcile staff payroll hours for biweekly payroll.

Manage various filings (miscellaneous, local, federal) and miscellaneous accounting tasks.

Requirements

Holds at least a bachelor's degree.

Has a minimum of 3 years of experience (preferably 4-5) in managing a professional office setting.

Experienced with QuickBooks Online and its bookkeeping functions.

Proficient in Microsoft Office, Google Suite, and Asana Software.

Possesses strong organizational skills and proven project management abilities.

Capable of tracking and completing multiple projects concurrently.

Works well with verbal instructions, is detail-oriented, and an excellent communicator.

A self-starter with the ability to integrate and enhance existing systems.

Able to work independently with minimal supervision.

Driven to advance the structure and standard operating procedures of the office environment.

Committed to personal and career advancement.

Maintains a positive attitude, honesty, and integrity in all interactions.

Leads by example, setting a professional standard with each interaction.

Assertive and confident, yet compassionate towards individuals and circumstances.

Comfortable enforcing company policies and administering documentation.
